We recently set up a document retention policy on DocuSign to automatically remove any 'envelopes' that were closed more than 6 months ago. This has applied retroactively and triggered a notification email to everyone included in this set of envelopes. You may have received this 14 day removal notification on the evening of Thursday 31st August. We would like to assure you that the emails are legitimate and are just to notify you that the signed documents will be removed from DocuSign within 14 days. You will also be sent a final 7 day notice, which is due on Thursday 7th September.


We have activated this automated removal feature because we keep a copy of all signed documents within our own systems, and regular maintenance of these supplementary systems will ensure healthy record keeping. You have the option to download a copy for yourself before the 14 days, however if you choose not to do so we can still provide you with a copy by request at any time.


Should you wish to take a copy of the documents in these envelopes, you can do so by using the access code provided to you previously via SMS or email . If you would like us to resend the access code to you then please let us know and we’ll get it sent to you.
